Questions

Workflow Automation — frequently asked

How much does workflow automation cost?

A single well-built automation runs $1,500–$5,000. A connected set covering a full department runs $8,000–$30,000. Custom integration work where no-code platforms cannot reach runs $15,000–$60,000. Most clients recover the cost within a few months in recovered staff hours, which is worth modeling before you commit.

Should we use n8n, Make.com, or Zapier?

Zapier for simple, low-volume connections between mainstream SaaS tools — the easiest to hand to a non-technical owner. Make.com when you need branching, iteration, and data transformation at a meaningfully lower cost per operation. n8n when you want self-hosting for data residency or compliance, high volume without per-task pricing, or custom code inside the workflow. We recommend based on volume and data sensitivity, not familiarity.

What processes are worth automating first?

High-frequency, rule-based, low-judgment work: lead routing and enrichment, invoice and document processing, onboarding sequences, report generation, and syncing data between systems people currently re-key by hand. Automate the boring repeated work first — judgment-heavy processes are where automation quietly creates expensive errors.

What happens when an automation breaks?

It will eventually — APIs change and credentials expire. We build in error handling, retries, and failure alerting to Slack or email from the start, plus a written runbook per workflow. Silent failures are the real risk with automation, so every workflow we ship tells you when it stops working.
